What data we process and why

• Simulation (Run Analysis) records: the location/coordinates, land area and boundary, project name, system parameters and results, together with the requesting IP address and time, are stored on our server to provide the service, prepare a quote for you, prevent abuse and improve the service. Legal basis: legitimate interest (GDPR Art. 6(1)(f)).
• Quote / contact form: name, e-mail, company, phone, message, project location and summary plus IP address are stored and e-mailed to BTR Enerji to reply to your request. Legal basis: steps prior to entering into a contract (GDPR Art. 6(1)(b)).
• Sample report and “E-mail me the report” forms: your name, e-mail, company and phone and (for your own report) the analysis summary are stored; the report is sent to your e-mail address and BTR Enerji may contact you about this report and your project. Legal basis: the consent you give in the form (GDPR Art. 6(1)(a)). You can withdraw your consent at any time.
• Automatic notification e-mails: when you submit a form, an e-mail confirming receipt of your request or containing the report you asked for is sent to your address. No marketing newsletters are sent.
• Files you upload (project files PDF/DWG/DXF; topographic surveys GeoTIFF/DXF/CSV; module and inverter files PAN/OND) are stored on our server to evaluate your request and run the calculation, and are accessible only to authorised BTR Enerji staff.
• Security and error logs: IP addresses are processed temporarily for server access logs and rate limiting. If a software error occurs on the site, the error message, page address and browser type are recorded to fix the service; these records do not contain the content of your forms.
• Analytics (Google Analytics 4) loads only if you click “Accept” (legal basis: consent). Page views and the number of actions such as running an analysis or submitting a form are measured; the content of your forms is not sent to Google. If you decline, no analytics cookies or scripts run.
• Browser storage: your language and cookie choice are kept on your device (localStorage) and are not sent to our server. You can change your choice by clearing the site data.

There are no accounts or logins. Your data is not sold or shared with third parties for marketing.

Transfers

Data is stored/transmitted on the systems of our hosting and e-mail providers, which may be located outside your country. When the related feature is used, requests are made to: map tiles (OpenStreetMap, Esri), address search (OpenStreetMap Nominatim), weather/irradiance and elevation data (PVGIS, Open-Meteo, NASA POWER, OpenTopoData), exchange rates (Central Bank of the Republic of Türkiye) and font hosts. These queries contain only the coordinate you selected. Data may be disclosed to authorities where legally required.

Retention

Data is kept for as long as the purpose requires and is deleted or anonymised on your request or once the purpose no longer applies, subject to statutory retention obligations.

Your rights

Under GDPR/KVKK you have the right to access, rectify, erase, restrict or object to processing, data portability and to withdraw consent, and to lodge a complaint with a supervisory authority. Contact us at the e-mail address above.
